Why You Need a Travel Specialist for Your Wedding

I always tell my couples that one of the biggest advantages of working with a destination wedding travel agency is having someone in your corner when things don’t go according to plan. But I didn’t fully understand just how important that would be until I became a destination wedding bride myself.

Before I was a Destination Wedding Specialist with Barefoot Bridal, I was a Barefoot Bridal client. My husband and I got married in Costa Rica in November 2024 at Dreams Las Mareas, surrounded by lush tropical rainforest and our closest friends and family. We spent months planning our wedding, coordinating travel, organizing room reservations, and making sure everyone knew exactly what to expect.

When Everything Changed

And then, at 3 a.m. on the morning our group was supposed to fly to Costa Rica, everything changed. More than half of our group planned to fly together into Liberia. We were all getting ready to head to the airport when the notifications started coming in.

Our flight had been canceled, and there was no rebooking option.

At first, we didn’t know why. Then we learned what had happened.

A hurricane earlier that month had caused significant flooding, which damaged the runway at Liberia International Airport. The airport had shut down for repairs, and no one had a clear timeline for when it would reopen.

There we were, standing in our homes at 3 in the morning, with luggage packed and a wedding just days away, and suddenly we weren’t even sure how we were going to get to Costa Rica.

I think it’s difficult to fully explain the feeling of realizing that more than half of your wedding guests are suddenly facing the same travel crisis at the exact same time.

These weren’t just vacation plans that needed rearranging. Our wedding was in a few days. We had our resort rooms and private transfers booked. Our family and friends had taken time off work, made travel arrangements, and spent money to be there. And we had no idea when or if we would actually arrive.

My husband, my son, my mom, and I decided that our best option was to take the next available flight into San Jose, Costa Rica, rather than wait for Liberia Airport to reopen. That meant completely changing our transportation plans. Barefoot Bridal worked with our private transfer company to have a vehicle pick us up in San Jose and drive us across the country to the resort.

Meanwhile, the rest of our group made a different decision. They chose to wait an extra day and fly into Liberia once the airport reopened. But there was still another problem. Our original resort reservations were based on specific arrival dates. Missing those first few nights could have meant losing money on rooms that we could no longer use.

Again, the Barefoot Bridal team stepped in.

They worked directly with the resort to shift reservations at no additional cost whenever possible. For guests who couldn’t change their dates, the team secured refunds for the two nights they had missed.

We Still Made It to Our Wedding

By the time we finally arrived in Costa Rica, I was exhausted. But we were there. And more importantly, our wedding was still happening.

We spent the rest of the week exactly as we had dreamed. We explored, relaxed, celebrated, and spent time with the people we loved most. When it was finally time for our wedding day, all of the stress of getting there seemed worth it.

We exchanged vows in the most beautiful garden surrounded by tropical rainforest, exactly as I had envisioned.

What the Experience Taught Me

Looking back now, I think about that experience often. Not because the travel emergency ruined our wedding. It didn’t. Instead, it completely changed the way I think about destination wedding planning.

Before that experience, I understood the value of having a travel agency help coordinate flights, room blocks, transfers, and guest travel. After that experience, I understood something much more important.

The real value isn’t just what happens when everything goes according to plan. It’s having someone who knows what to do when it doesn’t.

Airlines can cancel flights. Weather can change. Airports can close. Guests can have emergencies. Travel plans can fall apart in ways that you could never predict when you were sitting at home planning your wedding.

When you’re the bride and groom, the last thing you should have to do at 3 a.m. is figure out how to reroute 30 people across an international border, call the resort about your room block, coordinate private transportation, and figure out what happens to the nights your guests can no longer use. You should be focused on getting married.

That’s one of the biggest reasons I became so passionate about what Barefoot Bridal does. I experienced it from the other side first. I was the bride sending messages, trying to understand what was happening, and wondering how we were going to get everyone to Costa Rica. Meanwhile, I watched the Barefoot Bridal team take over the logistics and start solving problems.

That experience gave me an entirely different appreciation for destination wedding travel planning.

When I work with my couples now, I don’t just see the room block, the flight information, or the transfer reservation. I see the entire travel experience because I’ve been the bride who needed someone to step in. And I genuinely don’t know how we would have handled that flight cancellation without Barefoot Bridal.

In the end, every single one of us made it safely to Costa Rica. We had an incredible week, and our wedding was more than we could have imagined. The hurricane wasn’t something we could control.
