Planning a destination wedding involves more than just choosing the perfect venue and selecting stunning decor; it also requires careful coordination of travel logistics to ensure that your guests have a smooth and enjoyable experience. From arranging transportation to managing accommodation details, here are some essential tips for coordinating guest arrivals and departures for your destination wedding.
1. Communicate Early and Clearly
Start communicating with your guests as early as possible.
It is recommended to send your save the dates as early as 12 months before your wedding and to send wedding invitations at least 6 months prior.
2. Provide Travel Resources
Create a comprehensive travel guide that includes information about the destination, airport options, local transportation, and recommended accommodations. Share this guide with your guests to help them navigate the travel process. Include details on visa requirements, local customs, and any special considerations related to the destination.
I provided my comprehensive travel guide on my wedding website, which was featured on my wedding invitation. This is where I gave my guest detailed information about the destination, travel options, and accommodation choices. Clear communication helps guests plan their trip and minimizes last-minute confusion.Below are snippets from my wedding website!
3. Arrange Transportation to and from the Venue
Coordinate transportation for your guests from the airport to the hotel and from the hotel to the wedding venue. This can be done through shuttle services, private transfers, or even renting a bus or van for larger groups.
It is highly recommended to book your airport transfer through a reputable source like a Travel Agency. I had booked my wedding airport transfer through Barefoot Bridals (they are a Travel Agency specializing in Destination Weddings). Not only are they able to book safe transportation, but they also make this an easy process. Guests are able to upload their flight information directly to their site (less for me to worry about!)
Ensure that transportation arrangements are well-organized and that guests know the schedule, pickup locations and company who is picking them up. Make sure to provide your guests with some sort of contact number, incase there are any issues with transportation and you are not there to help.
4. Create a Detailed Itinerary
Prepare and share a detailed itinerary with your guests, including key events, transportation schedules, and any planned activities. A well-organized itinerary helps guests stay informed and ensures they know where to be and when. Include contact information for any coordinators or point persons who can assist with last-minute questions or issues.

5. Send Reminders
You will quickly find out that some of your guests will be procrastinators when it comes to booking airfare, rooms or airport transfers. I found it helpful to follow up with my guests via email by sending them reminders of what is due and when.
I created fun images in my free canva account that I screenshotted and turned into images. I then copied and pasted them into an email and BCC’ed all my guests. Below is an example of my email reminder when it came to airfare and airfare transportation!
I know that Barefoot Bridals (my destination wedding travel agency) had also sent out reminders to our guests when it came to payments and any information they needed to complete bookings. I believed the more the merrier! Even with all these reminders, you will be surprised at how many people still didn’t provide the information you are requesting. 😂
6. Designate a Travel Coordinator
If managing travel logistics becomes overwhelming, consider designating a travel coordinator or point person who can assist with arrangements and address any issues that arise. This could be a member of your wedding party, a professional wedding planner, or a trusted friend or family member.

They will be able to help guests with any questions or issues that arise when it comes to travel. They do this for a living and know how to manage almost any situation!
